A Solid Plan

Your wedding day should be filled with joy, love, and unforgettable moments not stress, confusion, or last minute problem solving. But without a clear plan and the right people in place to execute it, even the best thought out timelines can quickly fall apart. I’ve seen weddings where a well meaning friend or family member or even one of the couple, step  in as the day of coordinator, thinking they can juggle logistics while also enjoying the celebration. But when that person is also involved in the wedding party or has other responsibilities, it becomes impossible to manage everything without major delays. They end up getting pulled in multiple directions answering vendor questions, adjusting table settings, making timeline decisions which means important moments like scheduled photos or key events get rushed, or worse, skipped entirely.

Another common challenge? The bridal party not knowing where they need to be. If they don’t realize how crucial it is to stick around for group photos or key events, they might wander off, thinking they have time to grab a drink or take a break. Suddenly, instead of capturing the beautiful, fun group shots we planned, we’re spending precious time tracking people down cutting into the limited time for portraits and the rest of the celebration. Many couples assume that handling the logistics of a wedding day is simple but the reality is, there are countless moving parts. A professional day-of coordinator, or at least someone who truly understands the role and is prepared to manage the day, makes all the difference. They keep vendors on schedule, ensure decor is set up correctly, handle last-minute hiccups, and make sure everything flows seamlessly. Without someone dedicated to this role, the responsibility often falls on the couple or their loved ones, taking them away from the moments they should be fully present for.

Making Sure Everything Runs Smoothly For a Stress Free Day

1. Hire a professional day-of coordinator. They know what to expect, how to handle last minute challenges, and will keep your day on track so you don’t have to. If you’re not sure where to find one, I have connections to some fantasticcoordinators who can make the biggest difference in your day!

2. If a friend or family member is helping, make sure they know the full scope of the job. It’s more than just checking the timeline, it’s handling vendor communication, keeping events moving, and solving problems without disrupting the couple.

3. Make sure your bridal party knows their role. They’re not just there for the ceremony, they’ll also be needed for group photos and key events. A little heads up about timing and expectations keeps things running smoothly.

4. Assign a “wrangler.” Designate a reliable person to help gather the bridal party when needed, so no one gets lost in the excitement of the day.

5. Stick to the timeline as much as possible. The more we follow the schedule, the more time we have for capturing all the beautiful moments you’ve been dreaming of.

Having a strong, well prepared team on your wedding day ensures that you, your partner, and your closest people get to be fully present, soaking in every moment without stress. A little preparation goes a long way in making sure your wedding day is smooth, fun, and everything you imagined.
